Marketing Assistance- Differentiate Your Firm on SAO Submittals Lessons Learned Fom the SAO College

Our marketing department attended the SAO College in September in Columbus and thought we’d share some of our notes from the “Making Your 330 POP” session. We believe that all firms struggle to make their 330 meet all of the requirements and still differentiate themselves. Let’s face it; it’s hard to do with a government form. So, in an effort to help our colleagues we decided to list some of the key items that were brought to our attention from this session.
• Make Firm Name stand out on page 1 (bold, color, size, etc) make sure you use a color that will show up when it is copied in black and white
• Resumes
- Standardize the names/titles of people (Tom v. Thomas)
- In Box 21, ONLY list registrations in OHIO. Additional registrations can be listed in the box below.
- Be consistent with Project Names if you call it a Jones Hall Renovation on the resume for the architect make sure it is Jones Hall Renovation in every other resume including your subs
- Projects should be recent (within last 5 years)
- Text should be from the personnel’s point of view, their contributions and personal attributes
• Project Pages
- Write from Owner’s Point of View
- Include WHY project is relevant
- Photo or two is good
- Include quote/recommendation from owner/user
• Matrix
- Scope usually defined in RFQ. If not, or if there aren’t 10 elements, use your own criteria/evaluation of scope (urban site, multiple phases, medical labs, etc)
• Personnel Matrix
- Evaluation is looking for the majority of the team to have worked on similar projects together
• Part H
- NO BOILERPLATE MARKETING
- Keep it short & concise
- Relevant relationships of your projects
- Summary of why you are qualified
• EDGE
- Must have wet signature (not digital)
• Part II
- Licensed Personnel refers to OHIO licensed only
- Count personnel only once (e.g. if someone performs 2 roles in firm, you can’t count them twice)
- Must have wet signature from Prime. Subs can be digital signature
• Miscellaneous
- LEED points are available for all projects
We believe that some of these items were those that needed clarification when filling out the form and weren’t necessarily to differentiate yourselves from the competition. But you will definitely remain in consideration if your form is concise, consistent and clear. Your differentiators can then be noticed by the evaluators within the text of your descriptions and in Section H. Other suggestions are to form the most advantageous, well qualified and experienced team. Don’t forget to fulfill your EDGE requirements and put firms on your team that you have worked with before so your matrices are filled with those all important X’s.
